These Terms & Conditions apply to all membership plans offered by MyScanHub Ltd (“we”, “us”, “our”). By joining a MyScanHub membership plan, you (“the Member”, “you”) agree to the following terms:
1. About Us
MyScanHub Ltd is a UK-based provider of private healthcare services including MRI and ultrasound scans. We aim to make medical imaging faster, more accessible and affordable.
2. Booking a Scan
- All bookings must be made through our official website or customer support channels.
- You must provide accurate and complete information at the time of booking.
- You are responsible for ensuring you meet any medical suitability criteria for the selected scan.
- Some scans may require a GP or consultant referral. If required, we will inform you during the booking process.
3. Payment Terms and Conditions
- Full payment is required at the time of booking or on the day of the appointment unless otherwise agreed in writing.
- We accept payment via debit/credit card, cash, or bank transfer (details available upon request).
- If paying by bank transfer, payment must be received at least 24 hours before the appointment to confirm the booking.
- Any outstanding balance must be cleared before scan results or reports are released to the patient or referring clinician.
- If your payment fails or is declined, the clinic reserves the right to cancel or reschedule the appointment.
- Invoices must be paid within 7 days if post-appointment billing has been agreed. Late payments may incur an administrative fee or interest charges.
- Refunds are only provided in cases where the clinic cancels the appointment or if the patient is deemed medically unsuitable for the procedure. Refunds will not be issued for no-shows or late cancellations.
- Insurance patients must provide valid pre-authorisation details before the appointment if claiming reimbursement through private medical insurance.
- Invoices for business clients or referrals may be issued separately by arrangement.
4. Cancellations and Refunds
- Appointments must be cancelled or rescheduled at least 24 hours in advance.
- Cancellations made with less than 24 hours’ notice may incur a cancellation fee of up to 100% of the appointment cost.
- If you arrive late, the clinic may need to shorten or reschedule your scan to avoid delays for other patients.
- Failure to attend the appointment without notice (“no-show”) will result in the full fee being charged.
- Payment is required before or on the day of the appointment unless otherwise agreed.
- Refunds will only be issued in cases where the clinic cancels the appointment or if medically unsuitable to proceed.
- The ultrasound scan is a diagnostic procedure and does not guarantee a diagnosis or treatment outcome.
- Images and reports remain the property of the clinic but can be shared with the patient and their healthcare provider upon request.
- All personal data is handled in accordance with GDPR and clinic privacy policies.
5. Use of Our Website
By using our website, you agree to:
- Not use it for any unlawful, harmful, or fraudulent activity
- Not disrupt or damage the site or its services
- Respect copyright and intellectual property rights of content (images, logos, text)
We may suspend or restrict access if we believe your activity violates these terms.
6. Medical Disclaimer
- MyScanHub is not a general healthcare provider. We provide diagnostic imaging services and do not offer medical diagnoses or treatment advice.
- Our radiologists and sonographers report on scan results, but you must consult your GP or physician for interpretation and follow-up.
- All medical decisions remain the responsibility of your referring clinician.
7. Data Privacy
We are committed to protecting your data. Your personal and medical data is handled in accordance with our Privacy Policy, UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
8. Limitation of Liability
We are not liable for:
- Any indirect, incidental, or consequential loss resulting from scan delays or cancellations
- Outcomes resulting from how reports are interpreted by your own medical team
- Website downtime, bugs, or third-party system failures
Our total liability shall not exceed the total amount paid for the service.
9. Intellectual Property
All content on this website, including branding, design, and written content, is the property of MyScanHub Ltd and is protected by UK intellectual property law. You may not reproduce or distribute our content without written permission.
10. Third-Party Links
Our website may contain links to external sites we do not operate. We are not responsible for their content or services and advise you to read their terms independently.
11. Changes to Terms
We may update these Terms & Conditions from time to time. The updated version will be posted here with a new effective date. Continued use of the website after changes means you accept the new terms.
12. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be resolved under UK jurisdiction.

MyScanHub Membership Terms & Conditions

These Terms & Conditions apply to all membership plans offered by MyScanHub Ltd (“we”, “us”, “our”). By joining a MyScanHub membership plan, you (“the Member”, “you”) agree to the following terms:
1. Membership Plans & Eligibility
- Membership is available to individuals aged 18 or over.
- Membership begins on the date the Direct Debit is successfully set up and the first payment is received.
- Membership benefits and pricing will be clearly outlined at the point of sign-up.
2. Minimum Term & Contract Duration
- All membership plans have a minimum fixed term of 12 months.
- By joining, you agree to pay the full membership fees for the entire 12-month period.
- Early cancellation during this fixed term will result in the remaining balance for the full 12 months becoming immediately payable.
3. Payment & Direct Debit
- Membership fees are taken monthly by Direct Debit.
- The first payment is collected on the agreed start date; subsequent payments are taken on or around the same date each month.
- You must ensure sufficient funds are available. Failed payments may result in suspension of membership benefits.
- We may use an external payment provider to manage Direct Debits.
4. Renewal & Notice Period
- After the initial 12-month term, your membership will automatically renew on a rolling monthly basis.
- If you do not wish to renew beyond the fixed term, you must provide at least one (1) month’s written notice prior to the end of the 12 months.
- Notice must be submitted via email to info@myscanhub.com.
- If notice is not received in time, membership will renew and standard monthly charges will continue.
5. Cancellation Policy
5.1 During the Minimum 12-Month Term
- Cancellation is not permitted within the first 12 months unless the remaining membership fees for the full term are paid in full.
5.2 After the Minimum Term
- You may cancel at any time after the 12-month term, with one (1) calendar month’s written notice.
5.3 Our Right to Terminate
We may cancel your membership immediately if:
- You fail to make required payments.
- You breach these Terms & Conditions.
- We are required to do so by law or regulatory body (e.g. CQC).
6. Membership Benefits & Fair Use
- Membership benefits (e.g. priority booking, complimentary scans, discounted scans, consultations, health plans) are non-transferable and for personal use only.
- Benefits cannot be exchanged for cash or credit.
- A fair usage policy applies to ensure clinical availability and safety.
7. Cooling-Off Period (14-Day Right to Cancel)
- Under the Consumer Contracts Regulations 2013, you have the right to cancel your membership within 14 days of joining (“Cooling-Off Period”).
- If you do not use any services during this period, you will receive a full refund of any membership fees paid.
7.1 Use of Services During the Cooling-Off Period
- If you use any services (e.g. scans, consultations, reports) during the cooling-off period, you will be charged the full standard self-pay price for each service, as listed on the MyScanHub website at the time of use.
- These charges still apply even if you cancel within the 14-day period.
7.2 How to Cancel Within the Cooling-Off Period
- Cancellation must be requested in writing via email to info@myscanhub.com.
- Refunds (if applicable) will be processed within 14 days of confirmation, to the original payment method.
8. Changes to Pricing or Terms
- We may revise membership prices or Terms & Conditions periodically.
- Any changes will be communicated in writing with a minimum of 30 days’ notice.
- If you do not agree to the updated terms, you may cancel after the 12-month term, with one month’s notice.
9. Data Protection & Confidentiality
- We comply with GDPR and the Data Protection Act 2018.
- Personal and medical information will be kept secure and used only for service delivery, clinical purposes, and membership administration.

10. Liability
- All diagnostic services are carried out by qualified healthcare professionals.
- Membership is not a substitute for emergency medical care or GP services.
- We are not liable for indirect or consequential losses unless caused by negligence.
11. Governing Law
- These Terms & Conditions are governed by the laws of England & Wales.
- Any disputes will be handled by the courts of England & Wales.
